Terms and conditions:
1. Cancellations must be made in writing no later than seven days prior to the booking. Late cancellations will be charged at the fixed minimum rate per session as per pricing agreement. (Rate per 30 students)
2. All incursions have a minimum charge for 30 children, unless otherwise stated or agreed in writing. Staffing will be determined based on provided participant numbers upon booking. Numbers should be confirmed seven days prior to the session to allow for any staffing changes. Kids Clique will do our best to provide extra staff if numbers have increased significantly from original booking, however no guarantees can be made on last minute staff availability.
Where numbers in attendance vary significantly from those booked, and participant numbers have not been updated 7 days prior to the booking, you may be charged based on booked numbers where extra staff have been assigned. In all other cases you will be charged for actual numbers in attendance as evidenced by headcount or enrolment listing. If numbers provided by staff and service differ significantly, service will be responsible for proving proof of enrolment figures for the date.
3. Workshop programs will be invoiced on or after the date of the workshop, according to the greater of confirmed numbers or actual numbers. Invoice terms are Net 7 days from date of invoice. Invoices more than 30 days in arrears will attract administrative fees of $10.00 per 7 days overdue until payment is received unless prior payment arrangement is made and approved. Any costs of collection including engagement of debt collectors or legal fees will charged to the client. Term programs will be invoiced with a 25% deposit upfront, with the remainder invoiced at the conclusion of the program. Please let us know in advance if numbers are likely to change each week.
4. Staff are expected to provide active supervision during the session and retain responsibility for enforcing participants behavior.
5. Entry instructions, and a map where possible, are to be provided to us prior to the scheduled session. Whilst we make every attempt to arrive early for set up and make contact, inadequate supply of location and entry details or unexpected obstacles such as locked access gates may reduce your session length.
Please ensure you are available for phone contact as your session approaches, to ensure staff can contact you in case of delays or access issues.
6. Due to the nature of the incursion industry, and staff attending multiple consecutive services in unfamiliar locations your booking time cannot be guaranteed. Whilst we endeavour to attend all bookings at your preferred time, issues such as traffic, access, parking and navigation can cause cumulative delays.
7. An equipment inventory will be provided to you where equipment is left at your service. It is your responsibility to ensure all items are returned as listed in an undamaged condition. Any missing items or damage not attributable to fair wear and tear will be charged to your service at lower of repair or replacement cost.
8. By engaging our services you recognise that all activities undertaken may contain various levels of inherent risk. Whilst appropriate precautions are taken where possible to minimise risks, you agree that participation is voluntary and indemnify Kids Clique and its employees and agents from responsibility for any injuries to persons or property caused by participation in the provided activities.
9. Please advise staff and management well in advance if any participants involved have relevant injuries, conditions or disabilities. We will do our best to adapt programs or ensure injured participants are engaged only in suitable activities.
10. A suitable parking spot must be provided by the service a reasonable distance from the setup location. If If parking is not available this may affect your session time, as setup time is planned for a maximum of 20m distance from car to setup. If only paid parking is available, this must be reimbursed by client. Please let us know prior if there are any issues with parking, or if only paid parking will be available.
